ILLUSTRATIVE CONTROL SCHEMATIC · NOT LIVE DATA
01

Incoming message

Preserve the original message.

02

Relevant record

Check context and missing information.

03

Draft & review

Missing model number? Ask before quoting.

04

Owner-approved action

Only within agreed sending authority.

Draft prepared · review required
Incomplete or uncertain → human review

A message is evidence—not permission to send. Draft, review and sending permissions are agreed separately. Illustrative workflow; controls are agreed for each implementation.

01 / THE WORK

The problem is often after the inbox

An enquiry may be read but not assigned. A promised follow-up may have no checkpoint. A request may need information from a second system before anyone can answer. The useful intervention connects those steps rather than simply writing faster email.

02 / THE WORK

Begin with triage and preparation

Classify agreed message types, identify missing information and prepare a response or task for review. Keep the original message and relevant record identifiable. Unknown senders, forwarded instructions and attachments are evidence to assess—not authority to change accounts or send information.

03 / THE WORK

Keep sending authority explicit

Separate permission to read, draft, assign and send. Financial instructions, legal commitments, access changes and sensitive disclosures need deliberate controls. A draft-only first workflow can expose the real workload before any automated sending is considered.

04 / THE WORK

Decide what happens when nobody replies

A follow-up needs a responsible person and a defined checkpoint. Make unresolved items visible; do not let a notification stand in for the completed task. Agree the stop, escalation and retention rules before running a recurring workflow.

05 / THE WORK

What to bring without exposing your inbox

Describe the types of email, the handoff that gets missed and the system used to track work. A redacted example is enough for an initial enquiry. Do not send passwords, mailbox exports or client-sensitive attachments through the public form.

A quote request, from message to review

Illustrative scope: a customer asks for 12 replacement units by Friday but omits the model number.

  • Read: identify the quantity and requested date; use only the agreed mailbox and authorised customer records. Flag an uncertain customer match rather than creating a record.
  • Prepare: draft a request for the missing model number, with the source message attached to the tracked work. Do not invent a price or confirm Friday delivery.
  • Handoff: assign the draft to the sales owner. They check the context, edit or reject it, and send manually outside the automation. The draft-only connection has no send or record-creation permission.
Discuss your email handoff

Acceptance checks before a draft-only pilot

Agree these fixture and replay tests with the sales owner and connection administrator. They are proposed acceptance criteria, not results already achieved.

  • Same message redelivered: replay the original message. Require the same tracked work and draft, with no duplicate task, customer record or send.
  • Customer reply changes the request: replay a reply changing the quantity to 20. Invalidate the old draft and any review approval, refresh the context and return it to the sales owner. The stale draft must not remain ready for use.
  • Mailbox or CRM connection fails: simulate each unavailable connection. Require a visible pending or failed state assigned to the connection administrator, with the source reference retained. Never label the handoff complete or retry blindly.
  • Authority stays narrow: confirm that approving a draft does not enable automated sending or record creation. The owner still sends manually.
